  • Includes one 30-minute weekly coaching session that provides the essential "heartbeat" of the coaching process
  • Unlimited omnichannel follow-up support throughout the week via app-based chat, text, phone calls, and video for face-to-face human contact—available when your patients need it most

Choose from two ways to pay:

Patient pays us, you pay $0

  • You cannot legally bill insurance (or the patient) for your work, because you have no contractual relationship with their coach (us).
  • For liability reasons, you cannot supervise the coach (because we are the supervisor)
  • You do still receive the weekly report about the week's events

You pay us, patient pays you

  • You can legally bill insurance for your work, because you have a contractual relationship us, and you can bill the patient whatever price you wish.
  • You can supervise the coach, who works for you but is managed by us.
  • You receive weekly report about week's events

Additional Coaching Sessions: $90/hour (billed in 15-minute increments)

These additional sessions are specifically designed for body-doubling support via voice or video communication. Body-doubling is a proven technique where the coach's presence helps patients initiate and complete their most challenging tasks. Many patients with executive function challenges, ADHD, anxiety, or depression struggle most with beginning difficult or emotionally draining tasks—even when they understand what needs to be done.

These targeted coaching sessions provide:

  • Real-time voice or video support during task initiation and completion
  • Structured accountability that significantly increases follow-through
  • Emotional support during particularly challenging activities
  • Practical strategies to overcome procrastination and avoidance
  • Immediate problem-solving when obstacles arise

Patients typically use these sessions for their most dreaded activities—tackling paperwork, making difficult phone calls, organizing overwhelming spaces, or completing anxiety-provoking professional tasks.

Premium Package – "360 Life Review": $480 (one-time)

  • Comprehensive interviews with up to three important individuals in the client's life (e.g., parents, spouses, therapists, teachers) to gain deep insights into how daily functioning issues affect relationships. Interviews focus strictly on activities of daily living (ADLs) and functioning, excluding discussion of medical diagnoses.
  • A detailed full-life analysis covering key life areas such as household management, fitness, eating habits, financial matters, legal considerations, and interpersonal relationships. This in-depth evaluation aims to identify critical issues that may not surface during regular therapy sessions.
  • Clinicians receive a thorough, professionally documented report based on these findings for review and revision as needed. This package pricing provides clinicians ample margin opportunities to set their client rates higher.

MD-Led Professional Coaching Team

When you partner with Coachiatry, you're not simply contracting with an individual coach—you're accessing an entire psychiatrist-led professional coaching system. Our coaching team operates under the rigorous supervision of licensed psychiatrists, ensuring the highest level of care and professional standards.

Our approach includes:

  • Comprehensive coach training program developed by psychiatrists specifically for working with patients who have mental health conditions
  • Layered supervisory process with regular case reviews by senior coaches and psychiatrists
  • Weekly continuing education for all coaches to stay current with evidence-based approaches
  • Regular quality assurance reviews of coach-client interactions to ensure consistent excellence
  • Clinical oversight of all coaching relationships by our medical leadership team

This structured approach means your patients receive care from professionals who are continuously trained, monitored, and supported within a medical model—something independent coaches simply cannot offer. Your patients benefit from the collective expertise of our entire clinical system, not just an individual coach's experience.

Why This Pricing Works:

Affordable Premium Support: At $140/week, your patients gain access to a premium health coaching service that seamlessly integrates with your clinical care plans. Our weekly sessions coupled with unlimited patient follow-up deliver outstanding value at a price that's accessible yet clearly premium.

Profitability and Reimbursement Advantage: The pricing model is deliberately structured to enhance your practice's profitability. Because our base coaching service aligns closely with commonly reimbursed CPT codes (such as Health Behavior Intervention [96158], Behavioral Health Integration [99484], and Collaborative Care Model [99492–99494]), many practices can receive significant reimbursement—often covering a substantial portion, if not all, of the weekly fee.

Specifically, your practice can:

  • Bill relevant CPT codes for the initial $140 weekly fee, frequently generating reimbursements that offset a large part of this cost. This significantly reduces financial risk, ensuring a low-risk business opportunity for medical professionals.
  • Set client co-pays or additional charges as appropriate and within legal guidelines.
  • Offer additional sessions to your patients at market-standard rates ($120–$150/hour), creating clear margin opportunities given our exceptionally affordable $90/hour wholesale price.

This means integrating Coachiatry into your practice doesn't just enhance patient outcomes—it also enhances your practice's financial health.

Unmatched in the Market: Our Exclusive Advantage

No competitor in the market today offers what Coachiatry provides: MD-supervised, comprehensive accountability coaching plus just-in-time unlimited text, voice, and video follow-up available 24/7 to help patients start tasks exactly when they are scheduled. While other services might offer basic check-ins or scheduled sessions, only Coachiatry delivers true omnichannel support—app-based chat, text messaging, phone calls, and face-to-face video contact—giving patients the flexibility to engage through their preferred communication method.

Unlike traditional weekly coaching sessions that leave patients without support during critical moments of need, Coachiatry coaches are available precisely when your patients require intervention—at the scheduled time for medication, exercise, or other therapeutic activities.

Our coaches don't just check in once a week; they actively engage with patients at the moments most crucial for therapeutic success. The difference is profound:

  • Traditional coaching: Patient misses a scheduled self-care activity on Tuesday, discusses it during Friday's coaching session, and attempts to problem-solve after the fact.
  • Coachiatry approach: Coach contacts patient at the scheduled time on Tuesday, provides real-time encouragement and problem-solving, and helps the patient complete the activity successfully.

Additionally, clinicians receive comprehensive weekly summaries that track progress toward goals, document wins and misses, and provide meaningful statistics that can be directly incorporated into progress notes. These detailed reports save valuable time while enhancing documentation quality and providing data-driven insights to inform your clinical strategy. This level of integration and detailed reporting simply doesn't exist elsewhere in the market today.

16-Week Evaluation for Insurance Reimbursement

We recommend clinicians initially structure coaching services around a 16-week timeframe, as insurance reimbursement policies often align with a standard clinical review at this interval. At the 16-week mark, clinicians should perform a formal evaluation to assess patient progress and determine clinical justification for continued coaching services. Documenting this evaluation clearly can help ensure ongoing insurance coverage and smooth continuation of services beyond this initial period if clinically indicated. Coachiatry will support you with detailed progress documentation to make this evaluation efficient and straightforward.

Clinician-Controlled Service Duration:

Clinicians retain full authority to decide when the coaching service begins and ends for each patient. Coachiatry does not terminate weekly billing until explicitly directed by the referring clinician, ensuring consistent, uninterrupted support aligned with your clinical judgment.

Missed Sessions Policy:

If a patient misses a scheduled weekly session, Coachiatry will continue to bill the weekly fee. Our coaches will attempt to reschedule within the same week when possible. Regardless of attendance, coaches will clearly document weekly progress, patient engagement levels, and any relevant behavioral insights or barriers encountered. This documentation provides highly clinically relevant information, supporting informed clinical decisions even when sessions are missed.

Personalized Integration Support:

We don't just provide great pricing—we ensure seamless integration. Coachiatry staff will personally assist your practice in setting up straightforward record-keeping, billing systems, and patient communication. We offer sample wording, easy-to-follow documentation guidelines, and hands-on support until the entire process is smooth, effortless, and fully integrated into your practice workflow.

Our staff will work directly with you or your office staff in person, via video link with screen sharing, or by phone until the process is seamless. We pride ourselves on treating clinicians as valued customers, making onboarding painless and even pleasurable. We won't pass you off to an automated system to figure out alone—we're committed to building a long-term working relationship with your practice and won't be satisfied until you're completely happy.

Co-Pay Structure for Partial Insurance Coverage:

When insurance covers only part of the weekly coaching fee, clinicians can easily implement a co-pay structure. Coachiatry provides specific guidelines and templates to help you:

  • Calculate appropriate co-pay amounts based on typical insurance reimbursement in your region
  • Create clear patient communication materials explaining the fee structure
  • Set up streamlined billing processes that integrate with your existing systems
  • Maintain proper documentation to support both the clinical necessity and financial aspects

This structured approach ensures transparency, compliance with insurance requirements, and continued profitability for your practice.

CPT Code Implementation Guide:

To help maximize insurance reimbursement, we provide detailed documentation requirements for commonly used CPT codes that align with our coaching services:

  • Behavioral Health Integration (99484): Requires 20 minutes of clinical staff time monthly and documentation of care management services. Average reimbursement: ~$53/month.
  • Collaborative Care Model (99492-99494): Requires specific team structure and time documentation. Reimbursement ranges from ~$64-$157 depending on time spent and whether it's initial or follow-up care.
  • Health Behavior Intervention (96158): Requires clear documentation of behavioral interventions. Typically reimbursed per session.

Our onboarding process includes guidance on which codes are most appropriate for your practice and patient population.

Clinician FAQs:

How do we integrate Coachiatry reports with our Electronic Health Record (EHR) system?
Based on our experience, the simplest and most efficient method is to copy and paste the weekly coaching reports directly into your EHR. This approach typically takes just seconds and avoids costly, complex electronic integration efforts. All reports are structured to include clinically relevant information and are HIPAA-compliant when transferred to your secure EHR system.

Is Coachiatry HIPAA compliant?
Yes, all our electronic systems and documentation procedures fully comply with HIPAA regulations. As part of our service value, we provide complete documentation of compliance and Business Associate Agreements (BAAs), which are legal documents outlining our commitment to safeguarding protected health information, available upon request.

How does billing work?
Coachiatry bills clinicians directly on a weekly basis via credit card. Payment is processed each Monday for the upcoming week's services. Clinicians then bill their clients based on their own pricing structure, maintaining full control over their pricing and profit margins. We can also accommodate monthly billing cycles if preferred by your practice.

What is the policy for no-shows and cancellations?
We continue billing for missed sessions as the coach will still document weekly progress and patient insights, which remain highly valuable for clinical assessment. Coaches will make one attempt to reschedule within the same week when patients miss appointments, providing additional flexibility.

How are coach vacations handled?
When a coach takes vacation time, we provide coverage through another qualified coach to ensure continuity of care. There is no interruption in service or additional cost to the clinician. For patient vacations, coaching services continue as scheduled whenever possible, as these sessions often yield valuable insights relevant to ongoing clinical care.

What if a clinician needs to terminate the coaching service?
Clinicians can terminate coaching services at any time with a one-week notice. We recommend scheduling and billing one final wrap-up session to properly conclude the service, providing a detailed final report for clinical review and closure with the patient.

What support is available if issues arise?
Our team provides continuous live support to address any issues or questions you may have. You'll always have direct access to a real person who can immediately assist you, with guaranteed response times of less than 24 hours for non-urgent matters and same-day support for urgent concerns.

Can any licensed mental health clinician (MD, PhD, PsyD, MSW) utilize Coachiatry?
Yes, Coachiatry supports all licensed mental health clinicians, including psychologists, social workers, psychiatrists, and therapists, as well as clinics and larger provider groups.

Is patient consent and their right to opt-out clearly addressed?
Absolutely. We provide standardized consent forms that clearly outline the coaching relationship, confidentiality parameters, and patients' right to opt-out at any time. Patient consent is thoroughly documented, and the opt-out process is straightforward.

How complex is the billing and record-keeping integration?
Not at all complex. Our team provides hands-on support to set up simple, clear systems tailored to your existing practice workflow. We do not rely on automated processes—we work directly with your office staff until everything is running smoothly, typically within 1-2 weeks of starting the implementation process.

By adopting this innovative pricing model, Coachiatry ensures that premium mental health coaching becomes not only affordable and highly accessible but also a profitable enhancement to your practice.
